A clean office, on a rota that fits your week

Office cleaning is the regular upkeep of a working building: desks and surfaces, the kitchen, the washrooms, floors, bins and the glass everyone walks past on the way in. How often it needs doing has less to do with the size of the office than with how many people are actually in it. Washrooms and kitchens in a busy office want doing every working day. Desks, floors and the rest are usually fine on two or three visits a week, which is where most hybrid offices land once they have counted who is really in on a Friday.

Nearly all of it happens before the office opens or after everyone has gone home, so nobody is working around a vacuum. That means settling how we get in before the first visit rather than at seven on a Monday morning. A key and an alarm code, signing in at reception, a fob from building security: any of those work, they just need agreeing in advance.

A serviced suite on Priory Business Park and a whole floor in a Milton Keynes block are different jobs. The small office is one cleaner working through a short list on set days. A floor needs a rota, more than one pair of hands, washrooms looked at again during the day and someone to report to, usually a facilities manager or a managing agent. We already clean office space for the property managers CBRE, so we are used to both ends of that.

Whoever manages the building usually wants to see the cleaning happening rather than assume it. Our app puts the time we arrived against each visit, with photographs of the work next to it, so you can check a Monday morning without ringing anybody. Invoices come by email with a payment link and stay in the app afterwards, which saves an argument at renewal about what was done and when. We are a team of twenty five, based at Grove Place in Bedford, and we cover Milton Keynes, Luton, Stevenage, Northampton, St Neots and the towns in between.

How often should an office be cleaned?

Go by how many people are in the building on a normal day rather than the floor area. Washrooms and the kitchen show it first, so in a busy office they want doing every working day. Desks, floors, glass and bins hold up on two or three visits a week. What pushes it up is a shared entrance straight off the street, carpet instead of hard floor, food eaten at desks and visitors in and out all day. Carpet cleaning, floor scrubbing and high level dusting sit outside the weekly rota and get booked in when they are due.

Can you clean outside working hours?

Yes, and that is how most office work is done. Early, before anyone is in, or in the evening once the floor has emptied. If the building locks down at a set time, or there is a caretaker or a security team on the door, tell us when you ask for a quote and we will fit the visit inside those hours. Cleaning while you are open is fine too, and some offices prefer it because they can see what has been done.

Do you hold keys and alarm codes?

We can, and plenty of our commercial clients prefer it. What matters is agreeing the detail up front: who holds the key, who knows the alarm code and who changes it when someone leaves, and who we ring if the alarm is already sounding when we arrive. If you would rather not hand a key over, we sign in with your reception or with building security instead.

Do you restock the washroom supplies?

Yes. Soap, hand towels, toilet roll and bin liners can all be part of the contract. We watch what is running down and top it up on the visit, so your office manager is not the one finding out a dispenser is empty. If you would rather buy your own consumables and have us fit them, that works too. Just show us where the stock cupboard is and tell us who to warn when it is getting low.

Will you clean desks with things left on them?

We wipe what is clear, and we do not move papers, files or anything left out on a desk. A clear desk rule on the days we are in is what makes the difference, and one email to staff usually does it. Hot desks get used by several people a week, so those are wiped every visit, chair arms included. Screens and keyboards we leave alone unless you ask us to include them, because they mark and damage easily.

What happens to the bins and the recycling?

Desk bins and kitchen bins are emptied every visit and the liners changed. We keep your recycling as you have set it up, paper away from general waste, and take the bags down to the bin store or whichever collection point you use. We are not a waste carrier and we do not take anything off site, so your collections stay with whoever handles them now. Walk us the route on the first visit and it looks after itself after that.

We run shifts. Can you still clean?

Yes. On a site running shifts there is usually a gap at changeover, or a quieter hour in the middle of one, and the visit gets built around whichever your building actually has. Where offices sit alongside a warehouse or a production floor, the usual pattern is offices out of hours and the welfare areas and washrooms at a fixed point during the day, so they are not left from one morning to the next.

Are we too small for a cleaning contract?

No, and a good part of our office work is single suites and small units. What changes with size is the planning rather than the standard. A small office is one cleaner working through an agreed list on set days. A floor or a multi-tenant building needs a rota, more than one cleaner, washrooms looked at again during the day and one person for you to ring. If you are in a serviced building, check what your licence fee already covers first, because the landlord often cleans the communal areas but not inside your own suite.

Who is actually coming into our building?

Every cleaner we send is DBS checked and the company is fully insured, which is usually the first thing a facilities manager asks for. We are SMAS Worksafe accredited as well, which counts if your building is part way through a fit out with other trades still on site. Our staff wear MyT Clean uniform so your team can see at a glance who they are, and each visit is logged in our app with the time we arrived, so you are not taking anybody's word for it.
